Who we are
Pro Fade Barber is a barbershop at 17 Gloucester Rd N, Bristol BS7 0SG. This notice explains what information we collect when you book with us, why, and what you can do about it.

What we collect
- Your name and phone number, when you book
- Details of your booking, such as the service, barber, date and time, and any notes you add
- Your cancellation reason, if you cancel online
- A record of missed appointments, if you have any
- Basic technical information (like your IP address) when you use our site, kept for security purposes
Why we use it, and our legal basis
Mostly, we use it to take and manage your booking, which is part of performing our contract with you. We also keep security logs and track missed appointments, because we have a genuine interest in keeping the shop secure and bookings fair for everyone.
How we contact you
We'll message you by WhatsApp about your own booking. That covers confirmations, reminders and any changes. We don't send marketing messages unless you ask us to. Occasionally, after a visit, we might send a one-off WhatsApp message asking if you'd leave us a review. That's tied to that one visit, not a regular marketing message.
Missed appointments
If you book online and don't turn up without cancelling, we'll keep a record of it. Repeated no-shows may result in online booking being restricted. If you think your booking history is wrong, call us on 07913 140685 and we'll look into it.
Who we share it with
- Our website hosting provider, to run the site
- Our backup storage provider, to back up our records
- WhatsApp, when we message you there, since that conversation is covered by WhatsApp's own privacy policy, not ours
- Google, whose services (Google Fonts, Google Maps) load some content directly from Google's own servers when you visit our pages
We don't sell your information to anyone, and we don't use it for advertising.
Where your information is processed
Some of the providers above, like Google and WhatsApp, may handle information outside the UK as part of how they run their own services. When that happens, it's on them to have the right legal safeguards in place.
How long we keep it
We keep your booking details for as long as you continue to book with us, and for a reasonable period afterwards in case of a dispute or follow-up query. If you cancel a booking, or don't turn up for one, we automatically delete that specific booking record after around 90 days.
Keeping your information secure
We take reasonable steps to protect your information. For example, passwords are stored in a way nobody at Pro Fade Barber can read, and only staff who need it to run the shop can see booking records. No online system can be guaranteed fully secure, and we can't promise your information will never be at risk.
Your rights
Under UK data protection law, you have rights over your information. You can ask to see what we hold about you, ask us to correct anything that's wrong, ask us to delete it, or ask us to limit how we use it. Contact us using the details above and we'll respond as quickly as we can.
If you're not happy
Please talk to us first. We'd rather put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk, the UK's data protection regulator.
Cookies and storage
Our website and booking system don't use cookies to track you, and we don't show you ads. Browsing or booking on our site sets no cookies at all.
We do store a few small things on your own device. Your name, phone number and preferred barber, so you don't have to type them in again next time you book, and a link so you can manage your most recent cancellation. These stay on your own device, are only readable by you, and are never sent to us or anyone else. You can clear them any time by clearing your browser's site data.
A few things also load from elsewhere. Some pages load fonts directly from Google (Google Fonts) and show a Google Map so you can find us. When your browser asks for these, Google may see your IP address as part of that request, under Google's own privacy policy. When we message you on WhatsApp, that conversation happens inside WhatsApp's own app, covered by WhatsApp's privacy policy, not ours.
Our staff booking system, used only by our team, uses a login cookie and some staff-only device storage to run securely, including a small offline cache for the admin pages. None of this affects you as a customer.
